COEMIG Designation Process
The COEMIG designation process consists of four main steps:
Start: Registration and Account Creation
Achieve: Provisional Status
Earn: COEMIG Designation
Maintain: Designation Renewal
1) Start: Registration and Account Creation
The first step of the designation process is to register online, which typically takes only a few minutes. Each registrant creates a username and password that will be used both to log into the COE system and for SRC Support to assist you with any questions – so it’s important that you save this information.
Once registration has been completed, registrants must create accounts for the facility, practice and physician program director as well as any other surgeons that are likely to apply for COEMIG designation. All required contact information for each account must be completed before an account can be created. Each account will have a unique account number. Be sure to save this information as it will be needed to link your facility and surgeon accounts.
2) Achieve: Provisional Status
Applying for provisional status is the next step in the COEMIG designation process. Surgeons, hospitals and ambulatory surgery centers are encouraged to apply as soon as they are interested in earning designation. To achieve provisional status, registrants must link accounts, create an application and submit their application once they meet or exceed the provisional qualifications. A site inspection is not required for provisional participation.
- Linking
After creating each account, registrants must establish the electronic links that connect the facility, surgeon and practice. Together, these links form the “center” that enables the facility to apply for provisional status – and ultimately for the “center of excellence” designation. Linking is the only way registrants can begin their application for the COEMIG program. The “Linking” tab can be found within each account.
- Creating your Application
Once accounts have been linked, a “Create Application” button will appear under the “Applications” tab within the account. Each application question aligns with the program’s provisional qualifications. All questions marked with a red asterisk (*) must be completed. You must click on the “Create Application” button inside this tab to begin your application.
- Provisional Participation
The surgeon and facility must pay program application fees before submitting their application. An invoice is emailed to the billing contact and also displayed on the “Invoice and Payment” tab once your application is created. After the fees are paid, the application may be submitted to SRC for review.
SRC reviews the application to assess whether the qualifications for provisional status have been met. Applicants are notified when they are approved as a provisional participant.
Importantly, surgeons, hospitals and ambulatory surgery centers may not publicly announce or market provisional status. Facilities and surgeons must be part of a center that has been approved for designation before promoting their involvement in the COEMIG program.
3) Earn: COEMIG Designation
Earning designation is the ultimate goal of COEMIG program participation. SRC Support is available to guide participants as they work to reach this next milestone in the COEMIG program.
- Updating your Application
A participant is eligible for COEMIG designation as soon as they comply with the program’s requirements. Once provisional status has been achieved, participants can modify their initial application information as many times as necessary to reflect progress made toward designation. Once all questions are completed and meet the requirements for designation, click “Update Application” to send your application to SRC for review.
- Site Inspection
Upon receipt of the designation application, SRC will send materials that explain how to prepare for the site inspection. The purpose of this on-site review is to verify compliance with program requirements.
- Awarding Designation
The site inspection report and the application are the main elements evaluated by the COEMIG Review Committee. To ensure objectivity and fairness, information that identifies the applicant is obscured, and committee members must recuse themselves from the process if they suspect a conflict of interest.
When a candidate facility and their physician program director are both approved by the COEMIG Review Committee, SRC notifies the surgeon, surgical practice and facility that they have together earned the COEMIG designation. If a candidate is not approved, they are given the opportunity to correct any deficiencies and be reconsidered for designation.
Once they receive the COEMIG designation, surgeons and facilities are able to publicly announce and market their achievement.
4) Maintain: COEMIG Designation Renewal
The COEMIG designation remains in place as long as a center is in good standing and in verifiable compliance with all current requirements and other program criteria. To verify compliance, designees are formally evaluated approximately every three years as part of a renewal cycle. Site inspectors and SRC Support are available to assist designees as they prepare for renewal. Renewal candidates should refer to the requirements section for current requirements and a record of all amendments.
